Booking Wedding Transportation: A Realistic Timeline
Wedding day transportation has less margin for error than almost any other booking. Here's a realistic timeline for when to lock it in.
Wedding transportation gets booked later than it should, mostly because couples assume it's a simple add-on. It isn't — it's one of the few vendors on the day with zero flexibility in timing.
8-12 weeks out: lock the vehicle and rough timing. You don't need a finalized minute-by-minute schedule yet, but you do need the vehicle type confirmed and a rough sense of pickup and ceremony times.
3-4 weeks out: share the real timeline with your planner in the loop. This is when the schedule should go directly to whoever is coordinating transportation, ideally cc'd to your planner or venue coordinator so everyone is working from the same version.
1 week out: confirm the exact pickup address and a backup contact. Getting-ready locations change more often than couples expect — a different relative's house, a hotel instead of a family home. Reconfirm this close to the date, not just at booking.
Day-of: one person owns communication with the driver. Not the couple. A maid of honor, best man, or planner should have the direct line, so timing questions don't reach the couple during getting-ready photos.
The single most common issue isn't the vehicle or the driver — it's a schedule that changed after booking and never made it back to whoever's driving.
